To enhance your parish ministry experience

At St. Francis Xavier Parish, we believe that your “yes” to serve is sacred. Whether you’re hosting an event, leading a Bible study, or organizing a fundraiser, we want to equip you to serve with clarity, joy, and purpose.

This page includes everything you need to plan well, communicate clearly, and steward parish resources responsibly.

Reserving a Room

To reserve a room for your ministry event:

Call the Parish Office at 330-725-4968 or email sfxcalendar@sfxmedina.org

Submit at least 7 days prior to your event

If you require setup (tables, chairs, etc.), complete an Event Set-Up Form at the same time. Priority is given to liturgical and sacramental events. If you no longer need the room, please cancel your reservation to free space for others.

Pro tip: Reserve early! The annual parish calendar is set in June and spaces fill up quickly. Submit requests by mid-May at the latest if possible.

Event Set-Up

Submit your setup form 7 days prior

Maintenance will set up tables/chairs per your request

Paper products are provided by the parish but you are welcome to bring your own.

Decorations are your responsibility

Please clean up and leave the space better than you found it

Equipment, Keys & Cleanup

Need sound or AV? Indicate this on your request form so we can schedule training

Need a key? Pick one up during parish office hours. Return it after your event

Be a steward: Take out trash, clean tables, reset thermostats, turn off lights and equipment

Let your light shine! Promote your ministry in these ways:

Parish Flocknote (Ask Jennifer Webb to include in our weekly email)

Local Media:

Medina Gazette and Medina Weekly

Akron Beacon Journal and Cleveland.com

Other parish bulletins—spread the word locally!

Pro tip: Submit high-resolution images (300 dpi) and personal stories. People connect with real people!

Social Media Guidelines

Parish-sponsored events and ministries are prioritized

Posts must reflect our Catholic values—no politics or for-profit promotions

Positive, respectful engagement is expected in all comments

Requesting Reimbursement

Planning a ministry event? Don’t worry—you won’t have to pay out of pocket.

To request reimbursement:

Save your original receipts

Submit everything to the parish office
